This position supports the Sport Department’s mission to put into place programs that will identify talented athletes and horses, assist with their development, with the goal of achieving success in international competition.
It will also play a strong role in the administration of programs as well as the day-to-day support that the Sport Department provides to the membership.
This will include collaborating with various organizations, departments, committees, and communities; ensuring effective communication among stakeholders; administering related programs; and assisting the Directors with accounting and other related activities.
Duties and Responsibilities:
Provide support to the Managing Director and Directors of the Eventing Department
Provide support for the administration of the Eventing Pathway Programs and Sport Science Medicine Program led by Directors
Provide support to the staff, contractors, athletes, etc.
for competition and training session support logistics (calendar management, accommodations, transportation, etc.
)
Provide support to the Eventing Sport committees through meeting notices, meeting minutes, calendaring, etc.
Management of team clothing orders, Team Kit distributions, and tracking
Management of the Owners recognition initiatives including hospitality events, quarterly webinars, etc.
Serve as point of contact for award orders
Ensure Eventing information on website is clear, accurate, and current
Assist with the development of the FEI Eventing Newsletters
Assist with USOPC accreditation registration process
Support Eventing specific projects
Support championship administration as required
Answers telephone calls, responds to inquiries, provides information, takes messages, and refers calls when appropriate
Provides general clerical, logistical, and secretarial assistance.
Processes travel expense reimbursements and credit card statement
Assist with aspects of tracking expenses, invoices, check requests and credit card reports.
Maintain records of horses/athletes and monitoring safe sport / background checks.
Exceptional member service is provided, and member relationships are enhanced.
Communication with members and staff is effective and professional.
Relationships with other staff are productive and promote a positive team environment.
Assistance is provided to other department members when needed.
Required, Knowledge, Skills & Abilities:
Must be proficient in MS Office programs such as Excel, Word, and Outlook.
Must have excellent attention to detail and an excellent sense of planning and organization.
Must have the ability to collaborate and communicate effectively amongst both internal and external groups.
Prioritize and maintain a high level of performance in stressful situations, and within changing environments.
Extended hours of availability including evenings and weekends.
Education and Experience:
High School diploma or equivalent preferred.
Some college preferred.
One year of office/clerical experience required.
Bachelor’s degree may substitute for experience requirement.
Intern experience within high performance sport preferred.
A working knowledge of equestrian sport, especially the FEI disciplines, is preferred.
Physical Requirements:
Occasional travel may be required.
Extended hours of availability, including evenings and weekends.
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 10 pounds and occasional lifting and/or moving up to 25 pounds.
(Anything over 25 pounds requires a two-person lift)
